We have a full-time role reporting to the Governance Manager and providing administrative support to the Governance Team. In this role, you will be required to support and elevate the team’s success with seamless administration service tailored to meet the unique needs of the organisation at all levels. You will need to provide a level of service that goes beyond expectations.
About the Role
This role is in a busy Governance department, responsible for developing and maintaining effective governance and compliance.
The role holder will be responsible for diary management including arranging committee meetings, facilitating online meetings via Microsoft Teams, preparing meeting agendas and collating then publishing meeting packs onto our digital platform (Convene). Furthermore, the post holder will manage user accounts on Convene, addressing technical issues such as expired passwords and liaise with Convene support when necessary. In addition the role holder will support with keeping a central log of decisions with actions and following-up with action-owners.
Finally the post holder will support on the Elections of RIBA Council and regional chapter elections, support with the administration of the Annual General Meeting (AGM) and assist in the delivery of training to the business, including preparing presentations.
What are we looking for?
- Work experience in providing secretarial support at either committee or board level.
- Advanced skill in Microsoft Excel, Forms and Power Automate.
- A basic understanding of charity governance and of working with volunteers is preferable.
- Having an interest in the built environment and the architectural profession would be a plus.
- Being effective at managing relationships with high profile stakeholders.
- Excellent communication skills, oral and written.
- High attention to detail and proof reading skills.
- Familiarity with Convene and DocuSign, or a self-starter who is able to get up to speed with new systems.
